How it works

How to make name badges in four steps

Name Badge Creator is a free name badge maker that runs in your browser: it turns your attendee list into readable, branded badges you print yourself or at a print shop.

  1. Step 1: Import your list

Upload an Excel or CSV file, paste rows from Google Sheets, or start blank. You confirm which column is the name, company, role and so on. How the import works.

  2. Step 2: Pick a template and brand it

Choose a designer template, then add your logo, brand colors, fonts and background artwork. Move, resize or add text, images, shapes and QR codes.

  3. Step 3: Choose a size, then review names

Pick holder inserts, stickers, PVC cards, print-shop pins or cardstock. The review list shows every name that needs a look, longest name first.

  4. Step 4: Check the proof, then export

See a proof and a mockup, then download a print-ready PDF or PNG files. Only the download needs a free account.

Templates

Designer templates that handle long names

Every template below is drawn by the same engine as your PDF, here with a very short and a very long name. Each design sets a minimum readable text size and a line limit. A name that still doesn’t fit is flagged for you to review. We never cut it off or shrink it until it’s unreadable.

Paper and badge size

Pick your badge size and material

Choose what you print on, and the editor sets up the right layout. You can switch at any time; the design reflows to the new size.

  • Holder insert

Real lists, real names

Built for real attendee lists

  • Upload .xlsx, .csv or .tsv, or paste rows. Cells are read as text, so leading zeros and accents stay, and formulas or macros never run.
  • You confirm the column mapping. We never guess which part of a full name is the first name.
  • Each person can carry a QR code from a column, always drawn with its quiet zone so it scans.
  • Up to 2,000 people per project, from a five-person workshop to a full conference.

Update and reprint

Lists change right up to the doors opening. Import the new version and you see who was added, who changed and who was removed before anything is applied. Removed people are marked, not deleted, so you can pull their badge.

Print just the changes: export only the new and changed badges instead of the whole run.

Your printer or theirs

Print at home or send to a print shop

The result is a PDF or PNG files that you print. We don’t print or ship badges, and there is no Word file to wrestle with. Print the PDF at 100% (Actual size) on the sheet you picked, after one test page on plain paper.

For a print shop, choose single badges with bleed and crop marks: most shops accept that PDF as it is. Our printing guide covers alignment and partly used sheets, and how to make name badges walks through a whole event.

Making stickers instead? The same name tag maker lays out peel-and-stick sheets compatible with Avery 5395.

How pricing works

Your list stays private

Your attendee list stays in your browser. To improve the tool we save the design anonymously, never the names. If you sign in, your projects are stored in your account so you can reprint.

Frequently asked questions

How can I make name tags for free?
Upload or paste your attendee list (or start blank), pick a template, add your logo and colors, then download a PDF to print on name badge sheets, inserts or cardstock. Designing and proofing need no account. Downloading needs a free account, and exports are free during launch; they will cost $10 later.
Do I need to sign up to use the name badge maker?
No. You can import a list, edit a design, review every name and see a proof and mockup without an account. We ask for a free account (email and password) only when you download the final PDF or PNG files, so your design is saved and you can reprint later.
Will you print and ship my name badges?
No. Name Badge Creator makes print-ready files. You print them on your own printer using name badge sheets, inserts or cardstock, or send the PDF to a print shop. For print shops, choose single badges with bleed and crop marks.
Can I make name badges from an Excel spreadsheet?
Yes. Upload an .xlsx or .csv file, or paste rows copied from Excel or Google Sheets. You confirm which column is the name, company, role and so on, and the editor creates one badge per row. See name badges from Excel for how to prepare the file.
What happens if a name is too long for the badge?
Each template has a minimum readable text size and a maximum number of lines. If a name still does not fit, the badge is flagged in the review list so you can choose a shorter display name or a larger size. We never cut names off or shrink them until they are unreadable.
Can I add my own logo and brand colors?
Yes. Upload a PNG, JPEG or WebP logo (up to 2 MB; SVG files are converted in your browser), set your brand colors, choose fonts, add background artwork and move or resize any element.
What is the best way to print name tags?
Print the PDF at 100% (Actual size), not 'Fit to page', on the sheet or paper you chose in the editor. Print one test page on plain paper and hold it against a badge sheet before using the real stock. Our printing guide covers alignment and partly used sheets.
