Conference name badges, ready for
registration day
Portrait lanyard badges with roles, pronouns and QR codes, made from your attendee list and checked name by name.
Lanyard badges with roles and QR codes, from your attendee list.
You design and download print-ready files; you print them yourself or a print shop does. Nothing is shipped, so badges for late registrations are minutes away, not days.
- Roles in color, always with the role word
- A QR code per attendee, from your list
- Long names flagged, never cut off
Opens the editor with a 3 × 4 in portrait lanyard template. No sign-up to design.
Make conference badges in four steps
From the registration export to a box of badges, without a mail merge.
-
Step 1: Export your attendee list
From your registration tool or spreadsheet: name, company, job title, role or ticket type, pronouns and a QR column if you have one. How the import works.
-
Step 2: Pick a conference template
Add your logo, event name and brand colors, and give each role its color. Every name fills in from the list.
-
Step 3: Choose the holder size and review names
Portrait 3 × 4 in, 4 × 6 in, A6 or CR80. The review list shows every name that needs a look, longest first.
-
Step 4: Proof, export and print
Check the proof and the mockup, then download the PDF for your printer or single badges for a print shop.
Conference templates to start from
- Portrait Lanyard A vertical lanyard badge with a two-tone wave header, centered logo, big name, pronouns, a QR code and a role band.
- Conference Classic A color band with your logo and event name, a big first name, title and company, and a role band that prints the role word.
- Summit A soft violet wave header, the full name set large on the left, title in spaced capitals, a role pill and a QR code in the corner.
- VIP Pass A midnight ticket-style pass with a perforated stub in the tier color, printed with the tier word: Platinum, Gold, Silver, VIP, Sponsor, Press.
- Tide Layered waves along the bottom take each person’s role color, with the role word printed on the wave and a centered name above.
- Night Meetup Light type on a deep night background, a dot grid, a neon role chip and a QR code on a white tile. Built for meetups and hackathons.
See all templates, each shown with a short and a long name.
Color-coded roles that still read without color
Add a role or ticket type column to your list (Speaker, Staff, Volunteer, Sponsor, Exhibitor, Press) and give each role a color in the editor. The role word is always printed on the band too, so badges still make sense to color-blind guests, under poor light, or printed in black and white.
Text on a role band switches between white and near-black automatically, whichever reads better on that color.
Pronouns, only when filled
Pronouns are an optional field. Map a pronouns column and they print under the name for the people who gave them; for everyone else the line is simply left out, with no gap.
- Speaker
- Staff
- Volunteer
- Sponsor
- Exhibitor
- Press
Staff and volunteer badges
Crew need to be found fast. Give staff and volunteers their own role, or use a template with a big role band, such as High-Vis Crew, which prints the role word in tall capitals across the badge. Make them in the same project as everyone else, or in a separate one with their own list.
QR codes for each attendee
Map a column such as a registration ID, ticket link or profile URL to the QR element and every badge gets its own code. Or type one link for everyone, such as the event app or the schedule.
- Every code keeps a quiet zone of four modules (the blank border scanners need) and is drawn as sharp vectors in the PDF.
- The code stays with the right person when you sort, filter or print just the changes.
- Name Badge Creator only draws the code. We don’t run check-in or scanning: that happens in whatever system created the codes.

Sizes for lanyard holders
Most conferences use 3 × 4 in badges in clear lanyard holders, in portrait or landscape. Larger 4 × 6 in or A6 holders give room for a schedule or a big logo; CR80 PVC cards suit multi-day access. Portrait templates keep the top clear for the holder’s slot or a punched hole.

Late registrations and reprints
Registrations keep coming after the first print run. When they do:
- Import the updated list. Export it again from your registration tool or spreadsheet.
- Review who was added, changed or removed before anything is applied. People are matched by registration ID, then email, then name and company. Removed people are marked, not deleted, so you know which badge to pull.
- Print just the changes: only the new and changed badges, starting at the first free position on a partly used sheet.
Sort the export by last name and the badges come out in the order your desk will hand them over.
Printing at a print shop
A print shop can print on heavier card, laminate and cut for you. Export what shops usually ask for, and check their requirements first:
- Single badges, one per page, with 3 mm (about 1/8 in) bleed and crop marks.
- Or a ZIP of PNG images at 150, 300 or 600 dpi, one file per badge.
- Ask about card weight, lamination, cutting and the holes or slots for clips.
Registration desk checklist
- Badges sorted by last name, in boxes or trays labeled A–F, G–L and so on.
- A printed list of everyone, with a column to tick off who has collected.
- Spare blank holders and lanyards, and a few extra sheets of your badge stock.
- A laptop with the project open and a printer at the desk for late registrations.
- Spare badges in each role color for walk-in speakers, staff and press.
- Markers for quick fixes, and a box for badges that need reprinting.
